Understand roles and access

Your church’s administrator assigns roles that determine which actions a person can take. Resource access can further determine which records they can see.

Roles: what you can do

A role may allow actions such as creating transactions, reviewing them, importing data, or reading reports. Reading a record does not automatically grant permission to change it. Organization administration is a separate responsibility.

Programs: which resources you can access

Programs are an access-control tool for selected financial accounts, ledger accounts, and funds. They can also affect related transactions. A program is not automatically a ministry reporting category or a budget dimension.

Budget assignments

A budget can be assigned to members for viewing or contributing. Contributing to a draft differs from having authority to publish it. Existing role permissions and resource access still apply.

If an action is missing

  1. Confirm that you are in the intended organization.
  2. Ask your administrator to check your assigned roles.
  3. Describe the account, fund, transaction, or budget you need to work on.
  4. Have the administrator check resource access and any budget assignment, as well as the action permission.

Protecting finished work

A reviewed transaction or closed month can block financial changes even when you otherwise have edit permission. Use the correction workflow rather than changing roles to get around a period lock.
