Enter a transaction manually

Manual entry lets you record activity that you are not importing from a statement or receiving from a bank feed. It can be used on a manual account or, when appropriate, a connected account.

Before you begin

You need permission to create transactions and access to the selected account. Check for an existing entry first, especially if the account also receives bank activity.

Enter the activity

  1. Open Accounts and select the financial account.
  2. Choose Add transaction.
  3. Enter the date, description, and amount, checking whether the entry is money in or money out.
  4. Add the category lines and funds needed to explain the full amount.
  5. Save the entry and check it in the account’s history.
  6. Complete review when the entry is correct and fully allocated.

Use a meaningful description

“Cash collected at the fall supper” is more useful than “Deposit.” Attach the supporting record and explain the ministry purpose where needed.

Watch for duplicates

A manual entry is distinct from bank-fed activity. If the bank later sends the same purchase or deposit, investigate the overlap; do not review both as separate events. See Find a transaction.

If the date is protected

A closing or closed month may block entry. Ask the person responsible for month-end work to follow the authorized correction process.
